Who we are

Race Times is a results service for sailing clubs, run by [the operator's legal name], [postal address]. You can contact us at hello@racetimes.co.uk.

Your club and Race Times

Each club that uses Race Times decides what it uses it for. The club is the controller of its members' personal data, and Race Times is its processor: we hold and use the data on the club's behalf, following its instructions, and for nothing else.

A club's own administrators decide who joins it. If they can't, for example before the club has an administrator, Race Times' operator may approve or turn down someone waiting to join, at the club's request.

Questions about what your club holds about you are best asked of the club first. Replying to any email it sends you through Race Times reaches the club.

What we hold

• Your account: your name, your email address, and your password, stored only in a form that can't be turned back into the password.
• Your membership of each club: your role there (member, race committee or administrator), whether it's approved, and who approved it.
• Boats: sail number, name, class, handicap, and who owns them.
• Results: finish times, places, points and handicaps. These are published on the club's public pages, by boat. Public pages never show owners' names.
• Requests you make to the race committee, such as registering a boat or entering a series, and what was decided.
• The change history: who changed a result, when, and the reason they gave.

Why we hold it

To run the club's racing: to score its results, publish them, and email you about your boats and results. The lawful basis is the club's legitimate interest in running its racing, and, for your account, providing the service you signed up for. We don't use your data for advertising, and we don't sell it.

Who else handles it

Race Times uses these companies to run the service, each only for its part:

• Render runs the site and its database, in Frankfurt, Germany.
• Postmark sends Race Times' emails. It's based in the United States, so the emails pass through there, under its terms for transfers from the UK.
• Backblaze keeps the nightly backup copies, in the EU. They're encrypted before they leave Render, so Backblaze can't read them.
• Sentry reports errors in the site, in the EU. Error reports carry no names or email addresses.

How long we keep it

Everything is kept while your club uses Race Times, so that its results and handicaps stay complete. When a club leaves Race Times, everything it holds is deleted. Nothing is deleted automatically before then.

Your rights

• See your data: Download my data, on your My account page, gives you a copy of everything held about you.
• Correct it: change your boats' details from My boats, or ask your club's race committee.
• Delete it: Delete my account, on your My account page. Your memberships and requests are deleted. Your boats stay with the club, as its records, with no owner. Results stay as they were, and the change history says "a deleted account" where it named you. Reasons the committee typed for a correction are kept as they wrote them.
• Object, or ask anything else: ask your club, or email us.

If you're unhappy with how your data is handled, you can complain to the Information Commissioner's Office, at ico.org.uk.

Cookies

Race Times sets two cookies, both needed for the site to work, so it doesn't ask first:

• sessionid keeps you logged in, and carries short messages such as "Saved" from one page to the next.
• csrftoken protects the site's forms from being sent by other websites.

There are no analytics or advertising cookies.
